Write the event assumptions

Record the service format, date, service hours, location, and guest count used for each quote. If those assumptions differ, ask for a revised quote before deciding one provider costs less.

Account for each line

Check food, delivery, staffing, equipment, rentals, tax, and any other quoted charges. Ask which amounts are fixed and which change with headcount or hours. Keep refundable deposits separate from the event total.

Clarify the terms

Ask when the final guest count is due, how changes affect the amount payable, and what cancellation terms apply. Confirm whether a service charge includes gratuity instead of treating the two as interchangeable.
